Data protection

I keep the personal data I hold to a minimum.

What I hold

  • Contact details of people at provider organisations who enquire or work with me.
  • Anonymised cohort information providers choose to send me after Masterclass delivery: group counts only, with no names, contact details or individual responses.
  • Documents and anonymised case samples a provider shares for a Service Quality Review, where their own data arrangements allow.
  • Safeguarding records, only if a concern arises. These are kept restricted and are the one exception to my rule of not collecting individual participant information.

How I look after it

  • I use it only to deliver the agreed work, manage the relationship and meet legal duties.
  • Only I have access within Ascendify UK. The services I rely on to run the website and email process it to provide those services. Where I use AI assistants for business administration, I limit the personal information I share with them and never share participant information.
  • I don't sell personal data. Beyond the services above, I share it only where the law or a safeguarding concern requires it. The privacy notice sets out the services and lawful bases.
  • I keep it only as long as needed for the work and any legal or accounting requirements, then delete it.
  • Providers keep their participants' records and individual work under their own arrangements.

If something goes wrong

  • I record every personal data breach and my decision on whether to notify.
  • Where I'm the controller, I report a notifiable breach to the Information Commissioner's Office without undue delay, and within 72 hours of becoming aware of it. I tell affected people directly where there's a high risk to them.
  • Where I'm acting for a provider, I tell that provider without undue delay.

Safeguarding

Everyone who takes part in employability support has the right to be safe. Some participants may be young people or adults at risk.

Responsibilities

  • Providers deliver Masterclasses to their own participants and run their own safeguarding arrangements.
  • In Professional Development and Consultancy I mainly work with staff, but I may meet participants, for example on observation days.
  • I have my own responsibility to act on any concern I become aware of, not just to pass it on.

What I do

  • If someone is in immediate danger, I call 999 at once, then tell the provider's designated safeguarding lead.
  • I report any other concern to the provider's designated safeguarding lead as soon as possible, and always the same day.
  • If the lead is unavailable, is implicated or doesn't act, I go to the provider's deputy lead or a senior manager, and if needed to the local authority's adult or children's safeguarding team.
  • A concern about me should go to the provider's designated safeguarding lead or straight to the local authority safeguarding team. I'll cooperate fully.
  • I follow the provider's safeguarding procedures whenever I'm working in or with their service.
  • I don't investigate concerns myself, and I don't promise confidentiality where information must be shared to keep someone safe.
  • I keep a factual record of any concern I report, stored securely and shared only with those who need it.
  • Masterclass materials are designed so participants don't need to share sensitive personal information.
  • Safeguarding lead for Ascendify UK: Jermaine Lawes.

Equality, diversity and inclusion

Employability support only works if it works for everyone.

  • I treat everyone fairly and with respect, whatever their age, disability, gender reassignment, marriage or civil partnership, pregnancy or maternity, race, religion or belief, sex or sexual orientation.
  • Masterclasses are written in plain English. Captions and transcripts are supplied with each Masterclass as it's released, and reasonable adjustments are agreed with the provider.
  • Assessments and examples are designed so participants can use relevant evidence from outside paid work, and don't need specialist knowledge or polished writing.
  • I challenge discrimination when I see it, and I take any complaint seriously and respond promptly.
  • I review materials for accessibility and fairness as part of every content update.

Health and safety

I take reasonable care for my own health and safety and that of anyone affected by my work.

  • When I work on a provider's premises, I follow their health and safety rules, induction and fire procedures.
  • I report any hazard or incident to the site contact straight away.
  • Online sessions follow good practice for screen breaks and session length.

Anti-bribery and modern slavery

  • I don't offer, give, ask for or accept bribes or improper payments, gifts or hospitality in any form.
  • I declare any conflict of interest before work begins, and I keep Ascendify UK work separate from any other employment.
  • I have zero tolerance for modern slavery and human trafficking, and I use reputable suppliers for the services Ascendify UK relies on.
  • Ascendify UK is below the turnover threshold for a statutory modern slavery statement. This is a voluntary statement of its position.
